Guardsmen FAQ and Community Links and Guidelines

  • Guardsmen is an 18+ only event.

    Guardsmen aims to provide a challenging and collaborative roleplaying experience in a safe environment. “Guardsmen” acting in its sole discretion retains the right to ask a participant to leave an event at any time, for reasons including but not limited to any of the following:

    ● Breaking the rules or policies they have agreed to by attending.

    ● Acting against our code(s) of conduct.

    ● Posing a safety threat to themselves or other participants.

    ● Refusing to follow instructions from Curious Pastimes staff that any person acting reasonably would be expected to follow.

    ● Appearing to break the law or being judged likely to have broken the law.

    “Guardsmen” retains the right to refuse a booking to any person. If a person books for one of our events and we do not wish them to attend, we will issue a full refund including any fees. “Guardsmen” reserves the right to exclude any person from our events without disclosing the reason. In cases where an individual and/or group is deemed to have acted in a way that is or may endanger the health, safety or wellbeing of attendees to Guardsmen events, either as an isolated incident or as part of a pattern of destructive/dangerous behaviour, they may be ‘banned’. This means they have been refused the ability to book and/or attend any Guardsmen events in the future. This can be a temporary ban which lasts only for a stated number of events, or a permanent ban. Guardsmen is under no requirement to disclose information regarding banned individuals or the circumstances of a ban.     We cannot resolve issues we don’t know about – please do not assume we are aware of a situation. Whilst we strive to make our game safe and welcoming for all attendees, we are not legally responsible for their behaviour. If you have concerns about any aspect of the game or its participants (including staff), please let us know as soon as possible.

    All staff at Guardsmen are volunteers. We ask our volunteer staff to work to a code of conduct and we are really proud of and humbled by the amazing work they do. Individual crew will not necessarily be able to resolve any issues immediately – especially where they concern breach of policy or potential illegality. They will be required to escalate to those with appropriate responsibility. While the safety of all concerned will be immediately addressed to the best of our ability, any final decisions may necessarily wait upon our processes and policies being followed.

  • Refunds

    Refunds may be requested for cancellations submitted at least 14 days prior to the event start date. To request a refund, please contact us via email only.

    Regrettably, we are unable to issue refunds for cancellations made within 14 days of the event.

    All refunds will be processed in no more than 5 business days from the point of request, or 5 business days after receiving bank details if applicable, where the request aligns with our refund policy. Please note that refunds via bank transfer may take longer to process depending on the recipient's bank.

    Guardsmen is registered and hosted in the United Kingdom, and so is governed by UK consumer law.

    Ticket Transfers

    Regrettably we are unable to transfer tickets to other people.

    Event Cancellation

    If an event is cancelled by Guardsmen or Starkey-Studios, ticket holders will have one month from the cancellation announcement to request a refund. After this period, you will automatically be granted a refund. No administration fees will be applied to the credit conversion in this circumstance, and all standard policies as noted above on credit apply.

  • This Code of Conduct applies at all Guardsmen and Starkey-Studios events and all Guardsmen and Starkey-Studios official online spaces. All attendees are responsible and accountable for their own behaviour. We provide a framework of rules and policies; attendees are expected to adhere to these.

    ● All attendees should treat each other with respect at all times.

    ● All attendees should feel able to challenge other attendees regarding inappropriate behaviour in relation to any Guardsmen and Starkey-Studios policy, when they feel it is safe to do so and only if they feel confident enough to do so, otherwise please ask for help from a member of staff.

    ● If an attendee is challenged they should consider their behaviour and apologise if appropriate.

    ● If an attendee feels unable to challenge another attendee’s behaviour, they can approach a member of staff for advice, assistance or to raise a concern/make a complaint.

    ● All attendees must adhere to the rules of the game at all times, including the equality & diversity, safeguarding and accessibility policies, and should comply with all reasonable requests from staff members.

    ● As per UK law, the possession and/or use of illegal drugs is not permitted at Guardsmen and Starkey-Studios events; this includes during the ‘set-up’ and ‘take-down’ periods of an event.

    ● Real weapons of any type are not permitted at Guardsmen and Starkey-Studios events. This includes swords, knives, etc, intended as decorative objects. Bringing a real weapon onto site may result in you being asked to leave and/or banned from Guardsmen and Starkey-Studios events. Tools for use in cooking/woodcutting/craft, etc, are permitted though they should also not be carried in a belt pouch or similar, to avoid any confusion with latex weapons.

    ● Pyrotechnics and smoke effects are used at Guardsmen and Starkey-Studios events. These effects are supervised by specialist teams. If you are affected by these types of effects please let us know on your booking form under ‘medical conditions’. Please consider that we cannot always account for all special needs when on a live site, and please make sure you are able to safeguard your own mental and physical wellbeing before attending Guardsmen and Starkey-Studios events.

    ● The genre of this LARP includes elements of Horror, Trauma and many other story beats that may be triggering to attendees. We cannot accept any responsibility for pre-existing conditions, physical or mental that are exacerbated by any live roleplay you encounter on the field. Where possible we will try to warn attendees that have informed us of specific phobias or conditions but we cannot guaruntee that we will be able to get to everyone. If you are concerned about a specific element you don’t want to run into, please email us.

    ● Bringing pyrotechnics onto site without explicit permission, in advance, may result in you being asked to leave and/or banned from Guardsmen and Starkey-Studios events.

    ● As per UK law, firearms and explosive devices (including props or replicas) are not permitted at Curious Pastimes events for players. Bringing a firearm or explosive device onto site without permission may result in you being asked to leave and/or banned from Guardsmen and Starkey-Studios events.

    ● We do not permit players to bring animals, including birds, to events. Assistance animals are allowed but not recommended due to onsite staff use of pyrotechnics.

    ● In Character (IC) events are events which affect your character and the characters of others within the game world. Out of Character (OOC) events are things which affect the individual person/people playing a character(s). Try not to blur the lines in terms of conflict or other strong emotions. For example: It is not permitted to make OOC accusations or criticisms about a person’s behaviour IC; conversely OOC arguments or similar should not influence IC behaviours.

    ● The bathrooms are always considered to be OOC, as are the Crew Hut, Welfare areas and the indoor camping areas that include personal items.

    ● IC costume, or ‘kit’, should be worn in all IC areas during ‘Time in’. Costume should look as IC as possible: this means that players should endeavour to wear clothing that does not jar with the setting. Players are asked not to criticise the costume of other players. If a player has a legitimate criticism about another player’s kit they should raise it with a member of staff.

    ● Regarding kit: If a player needs to wear particular items to assist with their mobility or comfort, for example particular footwear or coloured lenses in glasses, this is specifically encouraged.

    ● Any attendee is encouraged to approach any member of staff if they have any concerns. If for any reason an attendee would prefer to speak to a member of staff of a specified identity then please let us know and we will do our utmost to fulfil the request.

    ● All participants are encouraged to report any concerns or complaints as soon as possible.

    ● We do not restrict profanity or swearing at Guardsmen and Starkey-Studios, except for instances where its use is to harass another person - in other words slurs are specifically not permitted at Guardsmen and Starkey-Studios events.

    ● We take the safety and wellbeing of our attendees very seriously, and we therefore do not allow unscripted dangerous play at Guardsmen and Starkey-Studios. In general when fighting, remember that everyone is playing a game and doesn’t want to cause real injuries: No charging or leaping with the intention to collide with full body-weight. No purposefully parrying blows with any non-padded weapons or items. You may only ever make a thrusting blow with a suitable stab safe weapon. Head hits are permitted at Guardsmen and Starkey-Studios events, but extra care should be taken when aiming and striking, only hit this location if you are absolutely sure you can do it safely. You may not engage in combat while under the influence of alcohol. Above all, players are asked to remember to pull their blows. This is achieved by stopping a weapon swing before it contacts an opponent. The resulting tap from a weapon is sufficient to register a hit without causing physical injury.

    ● Breaking the code of conduct/game rules or policies may result in a participant being asked to leave site and/or being banned from events.

    Personal information: According to the EU-GDPR (EU General Data Protection Regulation) and Data Protection Act 2018 (UK equivalent legislation), this means any information relating to an identifiable person who can be directly or indirectly identified, in particular by reference to an identifier. This definition provides for a wide range of personal identifiers to constitute personal data, including names, addresses, unique identification number, location data or online identifier, reflecting changes in technology and the way organisations collect information about people. There is an additional category of personal information relating to sensitive personal data, which includes information relating to (but not limited to) criminal convictions, religion/faith information or medical conditions, we may collect or record these in the course of investigations or complaints if required but we will not collect these generally. The type of personal information we collect: We collect and process personal information concerning customers and volunteer crew. We collect and process this personal information under the lawful basis of legitimate interest: processing orders for customer bookings and production of ID cards. We also collect and process sensitive personal information about medical conditions to facilitate assistance if required during our events, this information is categorised and is only carried by appropriate personnel, for example in a medical situation or by our administrative staff when producing ID cards. We collect and process this personal information under the lawful basis of legitimate interest. We share personal information, only if necessary during an incident at an event with first responders and healthcare providers. We do not collect any personal information through the operation and use of our website, such as analytics data. How we store personal information: Personal information is securely stored on our private internal IT systems. This information is stored while a person is a customer of Guardsmen and Starkey-Studios Events. and is purged on request from a customer.

    Data protection rights if we hold your personal information: Under data protection law, you have rights including: · Your right of access - You have the right to ask us for copies of your personal information. · Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. Your right to erasure/being forgotten - You have the right to ask us to erase your personal information in certain circumstances. Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. · Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances. · Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances. You are not required to pay any charge for exercising your rights unless a request is deemed spurious or excessive. If you make a request, we will endeavour to fulfil your request within 30 days of the request being received and you will be notified if a request will take longer than this timeframe to fulfil.
